Users & Roles

Super AdminOnly Super Admins can invite, edit, or remove users

You can invite multiple staff members to your church admin panel. Each user is assigned a role that controls what they can see and do.

Role Summary

RoleWhat They Can Do
Super AdminFull access — users, billing, import/export, kiosk, and all settings. Only Super Admins can invite, edit, or delete users.
AdminEverything except user management and billing. Can view the user list, access the kiosk and audit log, and manage all content.
EditorCan add and edit missionaries (including sending invite links), organizations, and church info. Cannot manage users or billing.
MediaCan upload prayer letters, photos, and video updates to existing missionaries. Cannot create, edit, or delete missionary records.

Inviting a User

Go to UsersIn the left navigation, click Users.
Click + Invite UserEnter the person's name, email, and select their role.
They receive a setup linkThe invitation email contains a secure setup link (valid for 7 days). They click it to create their own password or connect their Google account.

If the setup link expires before they complete it, click Resend on their row to send a fresh one.

Role assignment matters
Assign the Media role to volunteers who only need to upload newsletters. Only give Admin or Super Admin to trusted staff who need broader access.

Deactivating a User

Each row has an Active / Inactive switch. Set a user to Inactive to block their sign-in while keeping their account and history: a volunteer on a break, or someone whose access you want to pause while you decide. Switch them back to Active at any time and they sign in with their usual password.

Removing a User

Click the delete icon next to any user to remove their access immediately. This cannot be undone — you would need to invite them again to restore access. Prefer the Inactive switch when the person may be back.

Changing a User's Email

A user's email address is their identity across every church they belong to, so it cannot be edited from the Users page. If someone's address changes, invite them again under the new address and remove the old account.

Email Preferences

Any logged-in user can manage their email preferences from the avatar menu in the bottom-left corner — select Email Preferences. The toggle controls whether you receive product update and announcement emails from Field Link Missions. These go to every user of the church, whatever their role, and are on by default.

The choice is first made on the account setup page: the invitation link offers a ticked box, E-mail me product updates and announcements, whichever way you finish setting up (a password or Google). Every update e-mail also ends with an Unsubscribe link: it opens a page with a single button that switches these e-mails off for you; turn them back on any time under Email Preferences.

Critical notifications are always delivered to administrators
Outage notices and security alerts are sent to every Super Admin and Admin of the church regardless of their preference setting. Editors and Media users receive product updates only.
