We take the privacy of your church and your missionaries seriously.

Field Link Missions ("we", "our", or "us") operates fieldlinkmissions.com and is run as a sole proprietorship based in North Carolina, United States. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. We are committed to protecting the privacy of the churches and individuals who use our platform.
For the information a church enters about its missionaries, the church decides what is collected and published and we store and display it on the church's instructions. If you are a missionary and have a question about what a church has published about you, contact that church first; it controls your profile and its visibility. You may also contact us and we will help.
Account Information — When you sign up, we collect your church name, contact name, email address, phone number, and church details. This is used to create and manage your account.
Missionary Data — Information you enter about missionaries (names, locations, photos, prayer letters, bios, and other content) is stored on our servers on your behalf. You own this data. We store it solely to provide the Service to you.
Usage Data — When someone views our website, a church's public map or a kiosk, we record the page or missionary profile viewed together with the visitor's IP address, browser type (user agent), the page that referred them, and a short identifier derived from browser settings (screen size, time zone, language and platform) that lets us count unique visitors without a cookie; a kiosk uses a random identifier instead. We keep these records for 6 months, show them to the church only as counts and charts (visitors, most-viewed profiles, countries), and email church admins a weekly summary. Error logs may contain the same technical details. We do not use this data for advertising and do not combine it with data from other sites.
Activity Log — Every change made in the admin panel (who added, edited or deleted what, and when) is recorded with the IP address it came from, so the church can review its own history.
Payment Information — Billing is processed by Stripe. We never store your credit card number or billing details on our servers. Stripe's privacy policy governs the handling of payment information.
We do not sell your data to third parties. We do not use your data for advertising purposes. If your church opts in under Settings, we may name your church in our own marketing (for example on social media); otherwise we do not.
We understand that some missionaries serve in contexts where their identity and location are sensitive. The platform includes protections, such as hiding a missionary from the public map entirely, but you are responsible for configuring these settings appropriately for each individual.
We strongly encourage you not to store identifying information about missionaries in sensitive or restricted-access countries beyond what is necessary. Use the closed-country visibility controls provided in the platform.
Your data is stored on secure servers hosted by DigitalOcean, LLC in the United States. Application data lives in a database on our server, and uploaded media (missionary photos, videos and prayer letters) is stored in DigitalOcean Spaces object storage in a private bucket that only the application can read. We use industry-standard security practices including encrypted connections (HTTPS), hashed passwords, encryption at rest for two-factor secrets and integration credentials, and access controls. Changing or resetting a password signs that account out of all other devices. However, no system is completely immune to security risks, and we cannot guarantee absolute security.
The database and all uploaded media are backed up automatically every hour to separate storage on the same provider. Restore points are kept on a rolling schedule for up to about 13 months, so something deleted from the Service remains in older backups until they age out.
Our own support staff can open your church's dashboard to help you when you ask, or to investigate abuse or a security problem. Every action taken that way is recorded in your church's activity log as a numbered support session, and on our side with who did it and when.
We recommend enabling two-factor authentication for all admin accounts and using strong, unique passwords.
If something goes wrong. If we learn of a security breach that affects your church's data, we will notify the church's administrators by e-mail without undue delay after confirming it, tell them what was affected and what we are doing about it, and make any notifications the law requires.
We do not sell, trade, or rent your personal information to third parties. We may share information with:
Missionary profiles that are marked as visible on the public web map are accessible to anyone with your church's map URL — no login is required to view them. You control which missionaries appear publicly through the visibility settings on each missionary record.
Missionaries marked as hidden from the web map are never included in any public response from our servers, regardless of how the request is made.
Your data remains on our servers as long as your account is active. When your subscription ends or a trial expires, the account becomes read-only rather than being deleted at once, and your data is kept for at least 30 days so you can export it using the built-in export tools. After that we may delete the account and its data; you may request immediate deletion at any time by contacting us. Deleted data lingers in backups until those age out, as described in section 5.
Visitor analytics records are deleted automatically after 6 months.
You can export your full dataset at any time from Settings → Import & Export.
We use a session cookie and browser storage to keep you logged in to the admin panel, and a cookie to remember a device you have chosen to trust for two-factor authentication. We do not use tracking cookies or advertising cookies. The public map, website embeds and kiosks set no cookies; they keep a random per-visit identifier in browser storage for the visitor counts described in section 2, and may cache map tiles, photos and scripts for performance and offline resilience — that cached data stays on the visitor's device and is not transmitted to us.
The maps shown on the public map, website embeds and kiosks are built from OpenStreetMap data and served from our own servers. Viewing a map does not send any request to a third-party map provider, so no visitor information is shared with one. Map data is © OpenStreetMap contributors. This includes the small preview map on the missionary invite form.
You have the right to access, correct, or delete your personal information at any time. You can update most information directly through the admin panel. To request deletion of your account and all associated data, contact us at support@fieldlinkmissions.com. We will never treat you differently for exercising these rights.
The Service is for churches and their staff and is not directed at children. We do not knowingly collect personal information from anyone under 13, and admin accounts may only be created by adults. Missionary profiles sometimes mention a missionary family's children; the church that enters that information is responsible for having the family's permission to publish it, and the visibility controls let a church keep any profile off the public map.
We may update this Privacy Policy from time to time. We will notify account holders of material changes by email or through a notice in the admin panel. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
If you have questions about this Privacy Policy or how we handle your data, please contact us at support@fieldlinkmissions.com. Copyright complaints about content a church has published go through the copyright complaint form.
